About these terms
These terms apply when you use www.romfordutd.com, including the Player / Parent / Guardian Portal, the club shop, coaching bookings, camps and memberships. By using the website you agree to them. If you do not agree, please do not use the website.
The website is run by Romford United FC (“the club”, “we”, “us”), [Club legal entity name and type], of [Club registered address]. Our home ground is Mawney Park, Romford RM7 7HL.
How we use your personal information is explained in our privacy notice and cookie policy. Club membership also comes with the club’s own rules and codes of conduct, which apply alongside these terms. [Link to club constitution and codes of conduct]
Using the website
You agree not to:
- break the law, or help anyone else to, through the website;
- try to get into accounts, pages or data you are not allowed to see;
- upload viruses or anything designed to damage or overload the website;
- scrape, copy or collect information about players, families or staff from the website;
- pretend to be someone else, or give false information when you register, book or buy;
- use the website to send spam or advertising.
We may suspend or close access for anyone who breaks these terms, and we will report anything that puts a child at risk to the appropriate authorities.
Your account and the Portal
- You must give accurate details and keep them up to date, especially contact, emergency contact and medical information.
- Keep your password private and do not share your login. Tell us straight away if you think someone else has used your account.
- Parents and guardians are responsible for their child’s account. If you set up or link a login for a young person, you are responsible for how it is used and for helping them use it safely.
- You must only link to a player you are the parent or legal guardian of, or where you have the right to act for them. We may check this before giving access.
- You are responsible for everything done through your account.
- We may suspend an account to protect a child, investigate a concern, or where these terms are broken.
Messages, comments and uploads
The website lets you send chat messages, react to and comment on posts, submit match stats, and upload photos and videos. When you do:
- Be respectful. No abusive, threatening, discriminatory, sexual or bullying content, and nothing that breaks The FA’s Respect code.
- Only upload photos or videos you have the right to share, and never upload images of other people’s children without their parent or guardian’s permission.
- Do not share personal contact details of children, or try to move a conversation with a child away from club channels.
- You keep ownership of what you upload, but you allow the club to store, display and use it on the website and club channels for the purpose you uploaded it for. You can ask us to remove it at any time.
Profile changes, member posts and match stats are checked by the club before they appear. We may edit, hide or remove any content, without notice, if we think it breaks these terms or could put anyone at risk.
Safeguarding
Portal chats are club channels, not private ones. Club staff may review messages where there is a safeguarding reason to, and every review is recorded. Any concern about a child’s welfare will be handled under our safeguarding policy. If a child is in immediate danger, call 999.
Shop, bookings, camps and memberships
Prices and payment
- All prices are in pounds sterling (GBP).
- Payments are taken securely by Stripe through the Hiyya payments platform. We never see your full card details.
- Your order, booking or place is confirmed when payment goes through and you receive a confirmation email.
- If a price is clearly wrong, we may cancel the order and refund you in full.
Memberships
Memberships are paid monthly until cancelled. You can cancel at any time, and the membership then ends at the end of the month you have already paid for. We do not refund part-months unless the specific membership terms say so. [Confirm membership cancellation and refund terms]
Camps, coaching sessions and 1-on-1 bookings
Refunds and transfers follow the terms shown for that camp, session or booking when you book. If we have to cancel, we will refund you in full.
The usual 14-day right to cancel under the Consumer Contracts Regulations 2013 does not apply to camps, sessions and other leisure services booked for a specific date or period. This is an exception set out in those regulations.
Shop orders
The law gives you 14 days from delivery to cancel an online order of goods without giving a reason. Our own returns policy is more generous: unworn items with tags still on can be exchanged or refunded if you tell us within 30 days of delivery. When you cancel within the legal 14-day period, we refund the standard delivery cost too, within 14 days of getting the items back or proof you sent them. Items made to your specification, such as kit printed with a name or number, cannot be returned unless they are faulty or printed wrongly. More detail is on our shop help page.
None of this affects your legal rights if something you buy is faulty, not as described, or a service is not carried out with reasonable care and skill.
Our content and trade marks
The club crest, name, photos, videos, text and design of the website belong to the club or the people who licensed them to us. You may view and share pages for personal, non-commercial use. You may not copy, sell or reuse our content, crest or player images without our written permission.
Availability and accuracy
We work to keep the website running and accurate, but we cannot promise it will always be available or free from errors. Fixtures, results and times can change, sometimes at short notice, and information taken from league and FA websites may be delayed. Check with your coach if in doubt.
Development reports, PlayerDNA tasks and the website assistant are for guidance and encouragement only. They are not medical, fitness or professional advice.
Our liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
As far as the law allows:
- the website is provided free of charge and “as is”;
- we are not responsible for loss that was not foreseeable, or for business losses;
- we are not responsible for loss caused by events outside our reasonable control;
- if we are responsible for a loss connected with something you paid for, our liability is limited to the amount you paid for it.
Links to other websites
The website links to, and can show content from, other websites such as The FA, leagues, Google Maps, YouTube, Vimeo and social media. We do not control those websites and are not responsible for their content or how they use your information.
Changes to these terms
We may update these terms from time to time. The date at the top shows when they were last changed. The terms that applied when you made a purchase or booking continue to apply to it.
Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If you live in Scotland or Northern Ireland, you can also bring a claim in your local courts.
